ON LINE ALPHA GUIDELINES, PROCEDURES and TRADITIONS

GUIDELINES:

NAME:           On Line Alpha  

PURPOSE:    The purpose of On Line Alpha is to promote and strengthen Beta Sigma Phi through developing and nurturing friendships; by assisting and encouraging members in transition to find suitable land chapters; to assist in forming new chapters where needed; sharing ideas and solutions to Beta Sigma Phi problems; sharing with each other what good or bad comes into our lives and supporting each other; and to have meaningful discussions with each other on topics of interest.

OFFICERS: A President, Vice President, Secretary and Treasurer will be elected in March and installed in April each year. Committees will be appointed by the President as needed, with the assistance of the Executive Board. The positions of List Administrator and Web Page Administrator will be filled by a volunteer which has been approved the Executive Board.

MEMBERSHIP: Membership is open to any member of Beta Sigma Phi who is in good standing with the International office.

FINANCES: Annual dues will be assessed the membership to pay for the yearly Beta Journal donation and any other donation recommended by the Executive Board and voted by the membership.

MEETINGS: Meetings will be held monthly, with the exception of December, for a duration of one week.

VOTING: Items presented for consideration of the membership may be passed by 51% of the members voting.

AWARDS: No awards or honors will be bestowed on any member. However, a nominal appreciation gift will be given to the outgoing Executive Board upon completion of their term of office.

AUTHORITY: When procedural questions arise, the Book of Beta Sigma Phi will be followed as closely as possible, remembering that we are a new chapter classification and that offline policies do not always translate well to the online atmosphere.

AMENDMENTS: Proposed amendments to the Guidelines may be presented to the Executive Board two days prior to a meeting for discussion during that meeting and one additional meeting. Voting on the proposed amendment will follow the second meeting.

TRADITIONS

1. Special Sisters are exchanged for those members wishing to participate.

  2. A memorial service is conducted for members who pass away.

  3. Send an annual donation to The Beta Journal with the amount determined by the current year's Executive Board.

CURRENT OPERATING PROCEDURES

Meetings are held starting the 3rd Thursday for one week of each month. If an emergency arises between meetings, The Executive Board should be contacted and an emergency meeting will be called. The President calls the meetings to order by sending the Opening Ritual by e-mail to all members and asks that all members attending the meeting send your last name, first name and the word "present" in the subject line of a message to the Secretary. The meeting agenda follows the opening of the meeting in a separate message. Voting on any agenda item follows the close the meeting which is indicated by a message from the President with the Closing Ritual.

Any member may have an item placed on the agenda for discussion by the members by contacting the Board at least two days prior to the meeting. A motion and second are not necessary since every item will be placed on the agenda for consideration by the membership.

Voting will follow the meeting and will be done on an official voting page.

The President, with the assistance of the Executive Board will appoint committees as needed. These committees may include Program, Social, Secret Sister and Sunshine committees.

The Secretary collects and compiles committee reports and posts to the list along with the minutes of the previous meeting when the meeting has been started.

On Line Alpha is an Official Chapter. Members are classified as full members if they do not belong to a land chapter. Full members earn time in their degree by being able to progress upon fulfilling attendance and program participation requirements of International. Virtual members are those members who belong to a land chapter and an online chapter (both chapters).  All members are eligible to become chapter officers of On Line Alpha.

During the week of the meeting, please do not to post jokes, stories, or items that are not related to Online Alpha business and that month's program. Items of extreme importance may be posted. If in doubt, please get in touch with a member of the Executive Board (President, Vice President, Secretary or  Treasurer).

COMMITTEE AND OFFICER RESPONSIBILITIES

All OFFICERS will follow the procedures for each office as outlined in the Book of Beta Sigma Phi. Additionally, the VICE PRESIDENT accepts applications for membership, sends a welcome letter to new members and advises the membership and List Administrator. The  Vice President will be responsible for the OLA Banner.  At the end of her term of office, will forward it to the incoming Vice President. The SECRETARY maintains a current list of members and posts a current membership list every two months. She collects and compiles committee reports which she posts at the beginning of each meeting. She also receives "presents" for meetings, posts minutes of the previous meeting at the opening of each meeting and maintains a log of all voting results.

At the end of their term, all OFFICERS AND COMMITTEES will document instructions and information pertaining to their office or committee and pass along, with any files they might have, to their successors.

The PROGRAM COMMITTEE will conduct or coordinate a program during the regular monthly business meeting. Members must respond during the meeting to get credit from International.

The SOCIAL COMMITTEE will announce at the end of the regular monthly business meeting some type of online activity which may consist of various games, questions and web sites for the enjoyment of the members.

The SUNSHINE COMMITTEE sends E-cards for birthdays, anniversaries and special occasions.

The SPECIAL SISTER COMMITTEE randomly assigns Special Sisters for those wishing to participate.

The LIST ADMINISTRATOR adds or removes people from the list and handles problems associated with maintaining the chapter list.

The ASSISTANT LIST ADMINISTRATOR familiarizes herself with the procedures used by the List Administrator and prepares herself to take over in case the List Administrator is unable to fulfill her duties.

The WEB MASTER keeps information up to date on the web site and advises the chapter when major changes are posted.  Free web site will be renewed annually per request of current host.

The ASSISTANT WEB MASTER helps the Web Master as needed.

COURTESIES

Members will be expected to observe on line courtesies as follows:

1. Will treat each other with kindness, courtesy and dignity at all times and will conduct ourselves as true Beta Sigma Phi's slow to expose a fault and eager to find the True and the Good.

2. Will direct replies to individuals and not to the entire list unless the response would benefit everyone.

3. Will not use profanity in messages directly to others.

4. Will use the subject line to denote the substance of your message, being as specific as possible (i.e., Religious, Political, Jokes, etc.).

5. Will allow time for replies to e-mail messages, acknowledging that many members do not check their messages daily.

6. Will not send chain letters.

7. Will not post members e-mail address to the Internet.

8. Will not post the membership list to any Internet address.
